3. Application Document Screening

Application documents will be checked to determine if all required documents are filed and if all forms are completed. If all required documents are prepared, the documents will be received and "Bill for Application Fee" will be issued.

If there are missing documents or incomplete Forms, documents will be returned at the expense of the applicant.

2. Acceptance

After the application Fee is deposited, filed documents will be checked for inadequacy in application Forms and entitlement to application.

If there are no problems, the application will be accepted and a "PrivacyMark Application Receipt" will be sent.

If there is any problem with the above, the documents will be returned at the expense of the applicant.

3. Application Document Screening

Documents will be screened from the perspective of compliance to PMS and the preparation of a system complying with PMS. The requirements noted below will be particularly important factors in the application process.

  1. Whether there is a system prepared to appropriately manage personal information with appointment of a manager and clearly set internal responsibility and role-sharing arrangement for personal information protection.
  2. Measures (training, workshops, etc.) taken for diffusion of PMS at least once a year.
  3. Status of personal information protection being internally audited and necessary review undertaken by the representative at least once prior to the application.
  4. Consultation service available concerning personal information protection to relevant persons and assuring that the availability of such service is clearly disclosed to consumers.
  5. Personal information is protected from external intrusion or internal leakage with appropriate safety measures.
  6. When personal information is provided or entrusted to individuals or entities outside the private enterprise, an agreement is entered into with such individuals or entities for responsibilities and confidentiality for the appropriate protection of the personal information.

If a question arises during the document screening, file of additional documents may be requested.
